Creating Your First Invoice
Acculyt AI makes it fast to create professional, branded invoices. You can create an invoice in under 2 minutes.
Step 1: Start a New Invoice
Go to Invoices → New Invoice or click the + New Invoice button from the dashboard.
Step 2: Select or Add a Client
Start typing a client name in the Bill To field. Acculyt AI will search your existing clients. If this is a new client:
- Click + Add New Client.
- Enter their name, company, email, billing address, and preferred currency.
- Click Save — the client is saved for future invoices.
Step 3: Add Line Items
Each line item includes:
- Description — what you're charging for (e.g., "Web Design — Homepage")
- Quantity — number of units, hours, or items
- Unit price — price per unit
- Tax — select from your configured tax rates (e.g., GST 5%, HST 13%)
- Discount — optional percentage or fixed amount discount
The subtotal, tax, and total calculate automatically.
Step 4: Set Payment Terms
Choose from:
- Due on receipt — payment expected immediately
- Net 7, 15, 30, 45, 60 — standard payment windows
- Custom date — set a specific due date
Step 5: Add Notes and Payment Instructions
Use the Notes field to add messages like "Thank you for your business!" or specific payment instructions. You can set a default note in Settings → Invoice Defaults.
Step 6: Send the Invoice
Click Send Invoice. Acculyt AI will:
- Generate a PDF with your logo and brand colours.
- Send the invoice to the client's email.
- Include a Pay Now button linked to your payment gateway (Stripe, PayPal, or Square).
- Start tracking whether the invoice has been opened.
Automatic Payment Reminders
Enable automatic reminders in Settings → Invoice Reminders:
- 3 days before due date
- On the due date
- 7 days after due date (overdue notice)
Each reminder is personalised and sent from your business email address.
Accepting Online Payments
Connect a payment gateway in Settings → Payments. Acculyt AI supports:
- Stripe — credit/debit cards, Apple Pay, Google Pay
- PayPal — PayPal balance, cards
- Square — card payments
Once connected, clients can pay directly from the invoice email with one click.
