Complete guide to setting up employees and running payroll in Acculyt AI, including automatic tax deductions, direct deposit, payslips, and CRA/HMRC remittance.

Payroll in Acculyt AI

Acculyt AI's payroll module handles everything from employee setup to CRA/HMRC filings. Run payroll in under 5 minutes.

Step 1: Enable Payroll

Go to Settings → Modules and toggle Payroll to On. You'll be prompted to enter:

  • Employer business number (BN for Canada, PAYE reference for UK)
  • Default pay frequency: Weekly, Bi-weekly, Semi-monthly, Monthly
  • Payroll bank account (the account used for payroll disbursements)

Step 2: Add Employees

Go to Payroll → Employees → + New Employee.

For each employee, enter:

  • Personal details: Name, address, SIN (Canada) or NI number (UK), date of birth
  • Employment details: Start date, job title, department, employment type (full-time/part-time/contract)
  • Compensation: Hourly rate or annual salary
  • Pay schedule: Their pay frequency
  • Tax info: Federal and provincial/state withholding elections (TD1 for Canada, P45/P60 for UK)
  • Bank details: Account number and transit/sort code for direct deposit

Step 3: Run Payroll

  1. Go to Payroll → Run Payroll.
  2. Select the pay period (Acculyt AI auto-fills based on your schedule).
  3. Review each employee:
    • Regular hours are pre-filled from timesheets (if connected)
    • Add overtime, bonuses, commissions, or reimbursements
    • Add deductions: health benefits, pension contributions (RRSP/pension plan), union dues
  4. Acculyt AI calculates all statutory deductions:
    • Canada: CPP, EI, federal & provincial income tax
    • UK: National Insurance (employee & employer), PAYE income tax
  5. Review the payroll summary — total gross pay, total deductions, net pay, employer costs.
  6. Click Approve & Process.

Step 4: Direct Deposit

If you've connected your bank account via Plaid, Acculyt AI can initiate direct deposit payments via EFT (Canada) or BACS (UK). Funds typically arrive in employee accounts within 1-2 business days.

Step 5: Payslips

Acculyt AI automatically generates and emails professional payslips to each employee after payroll is processed. Employees can also access their payslip history via a self-service portal.

CRA / HMRC Remittances

Acculyt AI tracks the total payroll deductions you owe to the government and reminds you of remittance deadlines:

  • Canada: CRA payroll remittances are due the 15th of the following month (or 3rd Wednesday for accelerated remitters)
  • UK: PAYE payments to HMRC are due the 22nd of the following month

You can generate a pre-filled remittance form directly from Payroll → Remittances.
