Managing purchases accurately is an important part of business operations. The Purchase Order feature in Acculyt AI allows organizations to create purchase orders, record supplier and item details, and calculate the total purchase amount before saving the order.
Overview
The Purchase Order feature in Acculyt AI allows users to create and manage purchase orders by entering order details, selecting a Vendor/Supplier, adding products or services, and applying applicable discounts and taxes. Users can also add terms and conditions and attach supporting documents to the purchase order.
How It Works
A purchase order records the goods or services an organization intends to purchase from a supplier. Users can enter the Currency, Purchase Order Date, Payment Terms, Due Date, Vendor/Supplier, Supplier Representative, Advance Against This Order, and PO Number.
Products or services can then be added by selecting the item and entering the Unit, Quantity, Rate, Discount, and Tax. An Item Description can also be added when required. The system calculates the applicable amounts and displays the Subtotal, Discount, Tax, Total, Adjustment, Special Discount, and Grand Total.
Managing Purchase Orders
To create a new purchase order, click + Add Item, enter the required purchase order information, select the Vendor/Supplier, add the required products or services, and enter the applicable pricing details. Select the required Terms & Conditions and attach supporting documents if needed. Review the order totals and click Save Purchase Order.
You can add multiple products or services to the purchase order using the + Add Item option. Supporting files such as PDF, images, Word, and Excel documents can also be attached, with a maximum file size of 5 MB per file.
Ensure that supplier, item, quantity, pricing, tax, discount, payment terms, and due date information is accurate before saving the purchase order. Review the calculated totals and supporting documents to maintain accurate and complete purchase records.
