Businesses need to maintain accurate records of payments made through bank or cash accounts, along with the relevant supplier, payee, employee, and transaction details. The Payment Voucher feature in Acculyt AI allows organizations to record and manage payment transactions in a structured and organized manner.

Overview

The Payment Voucher feature in Acculyt AI allows organizations to record payment transactions by maintaining payment type, currency, transaction date, instruction number, bank or cash account, voucher amount, supplier, payee, employee, and branch information. This helps businesses maintain organized payment records and support accurate financial management.

How It Works

Acculyt AI allows you to create a payment voucher by selecting the required Payment Type and Currency and entering the Transaction Date and Instruction Number. You can then select the relevant Bank/Cash Account and enter the payment amount and reference information.

The payment can be associated with a Vendor/Supplier, Payee, Employee, and Branch, ensuring that the transaction is recorded with the relevant financial and organizational details.

Managing Payment Vouchers in Acculyt AI

To add a new payment, select the required Account and enter the Narration for the transaction. Enter the applicable Debit and Credit amounts. Use + Add Row to add additional accounts when required, or remove an entry using the delete option.

Enter the Main Narration to provide an overall description of the payment. If supporting documents are required, add them under Attachments. The system allows PDF, image, Word, and Excel files, with a maximum size of 5 MB for each file.

Before saving the payment, verify that the Total Debit and Total Credit amounts are correctly recorded. The system also displays the Total WHT and Total SWT amounts for the payment entry.

Select the appropriate Payment Type, Currency, and Bank/Cash Account before recording the payment voucher.

Enter accurate Transaction Date, Instruction Number, and Voucher Amount details.

Ensure all required fields are completed and the payment information is accurate before saving the payment voucher.
