Managing quotations accurately is an important part of sales administration. The Quotations feature in Acculyt AI allows organizations to prepare quotations for customers by recording customer information, products or services, pricing, discounts, taxes, and payment terms.

The Quotations feature in Acculyt AI allows organizations to create quotations by maintaining customer details, quotation information, products or services, quantities, rates, discounts, taxes, and supporting documents in one place.

By maintaining quotation information centrally, businesses can organize their sales records and ensure that quotation amounts are calculated accurately.

How It Works

Quotations represent offers provided to customers for products or services. When creating a quotation, users can enter the currency, payment terms, quotation date, due date, customer, customer representative, store, and quotation number.

Users can then add the products or services included in the quotation along with the unit, quantity, rate, discount, and applicable tax. The system calculates the subtotal, discount, tax, total, and grand total based on the information entered.

Additional adjustments, special discounts, terms and conditions, and supporting attachments can also be added when required.

Managing Quotations

To add a new quotation, enter the required quotation and customer information, add the products or services, review the calculated amounts, and click Save Quotation. Once created, the quotation becomes available for further management and supported sales processes.

Users can add multiple products or services to a quotation and provide an item description where necessary. Supporting documents can also be uploaded. The system allows PDF, image, Word, and Excel files, with a maximum size of 2 MB for each file.

When managing quotations, ensure that customer information, quotation dates, due dates, quantities, rates, discounts, taxes, and final amounts are accurate. Review the quotation details and calculated grand total before saving to maintain accurate sales records.
